Biographical Information
Student biographical page update:
All active students must update their biographic, demographic, and contact details through their “Update Bio” dashboard in SONIS. Please note that students cannot change their primary name or date of birth through SONIS. Below is the process for updating your name, if needed.
Official Name Change:
To change the legal name on student records, students must
- Complete the “Change of Name” request form
- Present current official government-issued documentation such as a passport, driver’s license, ID card, or court order.
Registrations
Course Registration:
All students are required to check with their Advisors before registering for their classes. This will enable the student to clarify with the advisor what courses to register for in a given semester. This will prevent incurring any withdrawal course penalties or incorrect tuition charges.
All course registrations are done online through the SONIS —the USML Student Information Portal System. No student is allowed to participate in any class without official registration. Instructors should direct any students not listed on their roster to contact the Office of Registration and Records. Additionally, instructors are required to report to the Dean any students on the roster who are not attending classes.

Registration Changes
Add or Drop Courses:
Students can add or drop classes through the student portal before classes begin. After classes start, students will no longer be able to add or drop courses online; the “add/drop request form”. Form must be completed by the student and signed by the appropriate authorities. Dropping a course after classes have started will result in tuition and/or fee charges.
Auditing a Class:
The USML policy on auditing a course can be found on the USML catalog at:
Note: audited courses.
- Receive a grade of AU, which carries no grade points or semester credit hours
- Do not serve as prerequisites for subsequent coursework, and are not eligible for financial aid
- Do not count toward degree requirements at USML
- The fee for auditing a course is 60% of the course credit hour tuition
If a student wishes to audit a course, the student must complete and submit the Course Audit Request Form before the first day of the semester in which the course is offered. After registration closes, courses cannot be changed to or from an audit status.
Graduation
Completing your academic journey is the goal of all students, and USML’s top priority is to help you achieve it. A student who has fulfilled their final degree requirements and wants to graduate should complete the “Petition to Graduate” form. Link to the form.

Transcripts
An official transcript of a student’s academic record at the University of Saint Mary of the Lake – USML – is obtained exclusively through the Office of Registration and Records upon receipt of the student’s authorized request. Because of the confidential nature of a student’s records, requests must be made in writing by the student or alumnus by completing and submitting the Transcript Request Form. No phone requests are accepted.
Electronic/PDF Transcripts:
USML can send unofficial copies of the transcript via email, protected by a password, to the designated recipient. However, the official transcript is sent only by regular mail to the provided address.
Mailing Official Transcripts:
- Official transcripts are sent in a sealed envelope; if the seal is opened, the transcript is no longer considered official.
- If multiple transcripts are going to the same address, they will be placed together in a single large envelope, with each transcript kept in its own sealed envelope inside.
Fees:
- There is no fee for requesting unofficial copies of transcripts
- $15 for each Official transcript requested (Please call (847) 970-4806 for payment with a Credit Card).
- Federal Express (FedEx) delivery service is available for an additional fee.
Transcript Release Restrictions:
- Financial obligations to the University of Saint Mary of the Lake must be satisfied before the release of official transcripts. However, official transcripts will be provided to students regardless of outstanding balances if the transcript is requested based on the following criteria:
- Applying for a job
- Transferring from one institution of higher education to another
- Join the United States Armed Forces or the Illinois National Guard
- Applying for Financial Aid
- Students seeking exemption from the financial hold should contact the Finance department at (847) 970-4806.
